Event Planner, Specialist

Join Vanguard’s Workplace Marketing Events team as an S3 Event Planner, Specialist, where no two days are the same. This role sits at the center of a vibrant event ecosystem, supporting a diverse array of high-visibility client-facing events.

This includes everything from large enterprise meetings and consultant forums to targeted client and consultant council sessions, as well as VGNext regional meetings. Unlike traditional event planning roles, this position is focused on strategic planning, content development, and stakeholder management, rather than logistics.

You’ll partner closely with senior leaders, and cross-functional teams to shape the purpose, messaging, and flow of each event. This includes collaborating with speakers, guiding content development, to ensure a cohesive attendee experience from concept through execution.

Core Responsibilities 1. Consults with senior staff leaders in one or more business areas to deliver top-quality and cost-effective meetings and events in line with business objectives and Vanguard's brand strategy. 2. Executes large-scale enterprise wide events and projects.

Recommends and implements creative and innovative practices to continuously improve upon existing meeting and event planning processes. 3. Develops and maintains broad knowledge and awareness of conference and event industry forces, competition, technology, and trends to act as a trusted advisor throughout the conference and event strategy. 4.

Creates detailed plans consistent with marketing and business objectives, develops cost/benefit analyses, and leads continuous-improvement efforts. 5. Fosters effective communication and partnership with external partners. Liaises between internal and external partners as needed. 6.

Participates in assessing team capacity and prioritizing requests. Engages in strategic competitive analysis. Manages risk and ensures compliance in partnership with senior leaders and other Vanguard crew. 7. Participates in special projects and performs other duties as assigned.

Qualifications Minimum of five years related work experience, with at least two years of marketing or event-planning experience. Undergraduate degree or equivalent combination of training and experience required. Graduate degree preferred. Additional information This is a hybrid position based in Malvern, PA, with remote work on Mondays and Fridays and in-office collaboration Tuesday through Thursday.
