Summary Schedule: 3 days a week | Onsite: Tuesday, Wednesday, Thursday (8am -5pm) Term: 6 months About the Role Benevity is seeking a Part-Time Office Coordinator for a 6-month term to join our Calgary team. Working 3 days a week in office (8am - 5pm, Tuesday through Thursday), you’ll be the welcoming face of our reception area and a champion of a safe, seamless, and positive workplace experience for Benevity-ites and guests.
You’ll help keep our space humming—managing day-to-day office logistics, keeping common areas stocked and tidy, coordinating health and safety programs, and supporting catering and onsite event logistics. What You Will Do Reception & Front-of-House Experience Serve as the main point of contact at reception on Tuesdays, Wednesdays, and Thursdays, greeting Benevity-ites, guests, and candidates with warmth and enthusiasm. Handle access control for the Calgary office, including allocating access cards, managing visitor badges, and assisting with parking programs.
Monitor incoming support requests submitted through our ticketing platform. Maintain and update internal resources and keep office communications clear and up to date. Office Operations & Logistics Manage incoming and outgoing mail, couriers, and package deliveries.
Ensure the office is clean, presentable, seasonally decorated, and stocked with adequate supplies, kitchen snacks, and essentials across the floors. Assist with logistics and catering coordination for team events, meetings, and gatherings..
Support onboarding/offboarding tasks for new hires and assist with workstation allocations or light space enhancements as needed. Health, Safety & Facilities Support Serve as an active representative on the Health & Safety Committee for the Calgary office.
Help maintain OHS compliance, serve as a designated Fire Marshal, and ensure first aid supplies and emergency plans are up to standard. Liaise with building management, vendors, and service providers for day-to-day office needs, deliveries, and basic maintenance.
Help manage expenses, including reconciling team Visa charges and ensuring proper record-keeping for role-related spend. What You Bring Experience: 1–2+ years in customer service, office coordination, or hospitality. Availability: Ability to work consistently onsite in the Calgary office on Tuesday, Wednesday, and Thursday (~8 hours/day).
Service Mindset: Naturally welcoming, proactive, and passionate about creating a positive workplace culture for Benevity-ites and visitors. Agility & Organization: Proven capability to juggle multiple time-sensitive tasks, prioritize effectively, and adapt in a high-growth environment.
Tech Comfort: Familiarity with modern workplace tools (or a quick learner eager to use Slack, Jira, Confluence, and G Suite). Physical Capability: Ability to handle physical tasks and lift 25 lbs regularly (receiving mail, moving packages, restocking supplies).
