The Opportunity This position works out of our Waukegan, IL location within the AVTN Aviation division. The Aviation Operations Coordinator Reports to the Aviation Operations Supervisor and supports the DVP Aviation, Director Flight Operations, and Director Aircraft Maintenance.

You will be responsible for all aspects of accounting for the aviation department including expense reports, you will also be responsible for repairing financial and operational reports and preparing billing statements for special purpose flights in conjunction with the executive timeshare agreement.

Functions as back-up for Aviation Operations Supervisor and Aviation Operations Administrator. What You'll Work On: Provides support for Aviation department auditing, general ledger / SAP, Ariba, accounts payable, financial and expense reports, journal entries, RCE's, ACRs and record keeping.

Prepares correspondence, reports, photocopying, composition, and proofreads letters, memoranda, and spreadsheets. Provides administrative support, receives and processes mail and shipping. Serves as receptionist, screens department calls and directs to appropriate personnel.

Greets, assists, and provides services as needed by department personnel, customers, guests, and dignitaries visiting the facility. Assists the Aviation Operations Supervisor and Aviation Operations Administrator with domestic and international scheduling.

Must be flexible, work schedule includes nights, weekends, and holidays. Assumes duties delegated by the Aviation Operations Supervisor. Position Accountability / Scope The Aviation Operations Coordinator reports directly to the Aviation Operations Supervisor and supports DVP Aviation, the Director Flight Operations, and the Director Aircraft Maintenance.

The Aviation Operations Coordinator mentors, teaches, and cross-trains the Aviation Operations Administrator to support the functions and coverage of the aviation department. The Abbott aviation department supports the goals of the company by providing safe and efficient transportation on company aircraft for various management and support personnel to almost any destination in the world.

We primarily serve the highest levels of the Abbott management team; however, we transport all levels of employees on a regular basis. We have extremely high visibility, and we are customer-focused and must consistently maintain very high levels of service and responsiveness.

The work output from this position has very high exposure and visibility to the highest levels of Abbott management. The level of scrutiny that the work product receives warrants extreme attention to accuracy and detail. The Aviation Operations Coordinator has significant interaction with Abbott top management, corporate officers, Abbott board members, and their administrative assistants.

The Aviation Operations Coordinator routinely communicates with a broad spectrum of functions internal to Abbott but also interacts with outside governmental agencies, such as the FAA, U.S. Customs, Waukegan Port District, and various vendors and suppliers who support the operation of the aviation department.

Required Qualifications: High School Diploma or GED certificate Requires superior administrative skills, demands a high degree of independent judgement and analytical decision making. Must be completely trustworthy handling highly confidential information that could have the potential to have far-reaching impact on the company if made public.

Requires well developed organizational skills and a proven ability to work effectively under a very high workload and considerable pressure with little supervision. Strong analytic abilities, customer focus, attention to detail and the ability to follow through are necessary to succeed in this position.

Experience in an accounting or related position with a basic knowledge of accounting principles is a plus. Willingness to develop knowledge of financial processes and systems including auditing, payroll, general ledger / SAP, Ariba, accounts payable, financial reports, journal entries, RCE's and ACRs.

Position requires knowledge of aviation scheduling or strong desire to be trained on aircraft scheduling and dispatch methods, computerized flight scheduling and flight planning programs and develop knowledge and experience in domestic and international corporate aviation operations.

A willingness to travel offsite to complete specialized training that will help the Aviation Operations Coordinator gain an understanding of Federal Aviation Regulations, aircraft systems and limitations, aviation terminology, and aviation weather.

Aviation experience and developed knowledge of flight operations software is preferred
