Job Title: Administrative Support - Deployment Coordinator Travel: Local * * * The Opportunity: Serves as the deployment coordinator in support of the CETs Division and subordinate branches. Individuals will be working on a government site at Aberdeen Proving Ground, MD with the customer and associated contractors as part of the GOST and TI2 branches.
The Deployment Specialist provides administrative, coordination, and compliance support for personnel deploying in support of program requirements. This role ensures all deployment actions are initiated, processed, tracked, and completed in accordance with government, contract, and organizational requirements.
A strong emphasis is placed on accuracy, organization, customer support, and the ability to manage multiple tracking systems, including SPOT and the processing of Letters of Authorization (LOAs)
Responsibilities
- Manage deployment- related administrative workflows, including documentation collection, OCONUS packet preparation, and compliance checks.
- Maintain deployment trackers, rosters, and lifecycle documentation to ensure all employee statuses remain current and accurate.
- Coordinate with internal teams, subcontractors, CORs, KOs regarding deployment timelines, documentation needs, processing steps.
- Provide follow up and proactively work with teams onsite to ensure that packets are submitted ahead of government timelines for adequate approvals.
- Serve as the primary TI2 branch point of contact for employees requiring deployment assistance, providing guidance on next steps, forms, and timelines.
- Assist with preparing, reviewing, and submitting forms such as DD2875s or other access/ training validations when required.
- Schedule and track training, medical, and security requirements; ensuring all pre deployment requirements are completed prior to travel.
- Maintain organized digital files and contribute to shared knowledge bases, checklists, and SOP updates.
- Collaborates with government leadership and team members to create and streamline processes in accordance with division requests and timelines.
- Enter, update, and maintain personnel records in SPOT- ES system in accordance with government contractual requirements.
- Work with contracting leadership to ensure that contracts are properly associated in SPOT prior to personnel entry and contract PoP transition.
- Process and submit LOA requests, monitor approval workflows, and ensure timely action from COR and KO approvers.
- Download approved LOAs, verify accuracy, and distribute them to deployers and internal stakeholders.
- Track LOA validity periods, re-entry/ exit dates, and update records per government travel requirements.
- Ensure completion of required SPOT training modules and assist with access issues or required for submissions
Qualifications
- Required: 2+ years of experience in administrative support, coordination, HR operations, or deployment related roles.
- Strong organizational skills with the ability to manage multiple deadlines and competing priorities.
- Experience using government deployment or personnel tracking (SPOT- ES preferred).
- Familiarity with deployment documentation such as LOAs, DD2875 forms, travel approvals, and compliance requirements.
- Attention to detail and high accuracy standards.
- Customer service mindset; supportive and responsive to deployers.
- Ability to maintain confidentiality and handle sensitive personnel data.
