Learn more at https://www.jnj.com/innovative-medicine THE OPPORTUNITY The Event Associate is a key business enabler within Medical Affairs, responsible for owning the planning, coordination and execution of external events across both commercial and medical portfolios, including but not limited to advisory boards, grants, smaller speaker tours, in-service meetings, dinner meetings and third-party sponsorships.

The role partners closely with business owners and cross-functional stakeholders to deliver a seamless customer experience, ensuring event logistics, administration, approvals, documentation and operational requirements are managed efficiently and compliantly.

In addition to event ownership, the role provides broader Medical Affairs enablement, helping to execute priorities with consistency, strong project management and high-quality delivery. RESPONSIBILITIES Own the planning, organisation and execution of external events across commercial and medical portfolios, including but not limited to, advisory boards, grants, in-service meetings, dinner meetings, third-party sponsorships and small-scale speaker tours.

Partner with business owners to clarify objectives, timelines, stakeholder requirements and success measures, translating business needs into practical event and administrative execution plans. Drive the customer experience across external events by coordinating high-quality attendee, speaker and stakeholder touchpoints, including communications, registration, travel, materials and on-site or virtual support.

Manage end-to-end event logistics and administration, including venue bookings, catering, vendor management, travel arrangements, participant communication, material distribution and event close-out activities. Maintain event budgets, purchase orders and financial administration, ensuring costs align with financial guidelines and any issues or variances are escalated appropriately.

Coordinate the preparation, approval and management of event materials, including agendas, presentations, participant lists, briefing documents and supporting resources. Ensure all required event approvals, contracts, compliance documentation and records are in place, supporting consistent execution within company policies, healthcare codes and local requirements.

Provide broader Medical Affairs administrative support as required, working with business owners to execute agreed priorities, improve ways of working and support team operational effectiveness. Demonstrate strong project management by managing timelines, tracking actions, identifying risks, resolving issues and keeping stakeholders informed throughout execution.

Build strong cross-functional partnerships with Medical, Commercial, Compliance, Finance, vendors and other internal teams to enable smooth, compliant and customer-focused delivery. ABOUT YOU Business Enablement: Ability to partner with business owners to execute external events and broader Medical Affairs administrative priorities that support commercial and medical objectives.

Event Ownership: Strong capability to coordinate and execute external events end-to-end, with accountability for customer experience, logistics, administration and follow-through. Project Management: Excellent organisational and time management skills, with the ability to manage multiple priorities, deadlines, dependencies, risks and action plans.

Cross-Functional Collaboration: Excellent communication and partnering skills to work effectively with Medical, Commercial, Compliance, Finance, vendors, participants and broader stakeholders. Customer Experience: Ability to anticipate stakeholder and attendee needs, coordinate clear communications and support smooth, professional and customer-focused event delivery.

Attention to Detail: Strong ability to manage event logistics, documentation, approvals, purchase orders and administrative processes with precision and adherence to guidelines. Problem-Solving: Proactive in identifying risks, resolving logistical or administrative challenges and escalating issues appropriately to maintain delivery quality.

Technical Proficiency: Skilled in event management software (e.g., Cvent, iConnect) and office tools (Excel, Word, PowerPoint) to manage logistics, data, reporting and administration efficiently. Experience or qualifications that are critical to this position 2+ years of experience coordinating and executing external events, ideally across healthcare, pharmaceutical, commercial or medical environments, including examples such as advisory boards, grants, in-service meetings, dinner meetings, third-party sponsorships or small-scale speaker tours.

Proven ability to manage event logistics and administration, including vendor management, travel arrangements, venue coordination, purchase orders, documentation and event close-out activities. Candidates must be authorised to work in Australia/New Zealand and not require visa sponsorship at the time of application.
