Founding Office & Workplace Operations
Top focus
A Foundational Company Rilla is on a mission to index the offline world. Today, we've built the leading sales coaching software for organizations doing sales offline. We have over 1000 customers, including The Home Depot, KKR, Neighborly, and PulteGroup, using our product to enable AI sales coaching across their organization.
We are backed by Google Ventures, Bessemer Ventures, Crew Capital, and Broom Ventures, along with others. We're an in-office team in NYC with builders who operate like high-speed reinforcement learners. We obsess over our customers, move at a high velocity, are not afraid of failure, and look to maximize our real-world impact.
The Role As Rilla scales, the office is the engine everything else runs on, and right now there's no one who owns it end to end. This is a founding role to build it. You'll own the physical space, the daily experience of being in the office, and the systems that get new people productive from day one.
Today this work is scattered and manual. Your job is to turn office and workplace operations into a system that runs itself — so a team of builders working ~60 hours a week in person never has to think about whether the space, the food, the supplies, or the onboarding "just works." It does, because you built it that way.
We're looking for someone who reaches for AI and automation before the manual grind, treats logistics as a system to engineer, and takes extreme ownership of a space and a team's daily experience. You'll sit on our BizOps team and work across HR, finance, engineering, and leadership, the connective tissue that keeps everyone moving fast.
What You'll Do Own day-to-day office operations end-to-end. Manage vendor relationships — food & beverage, cleaning, facilities, building management and hold them accountable to timelines and quality Keep the office stocked: order and restock supplies, snacks, drinks, and equipment before anyone notices they're low Plan and run internal events, team offsites, celebrations, and the moments that build culture in a high-intensity in-office team Own office-related budgets, expenses, and reconciliations, and find ways to spend smarter as we scale Build the systems, checklists, and automations that make all of the above continuous instead of a scramble Be the go-to person for anything space-, supply-, or experience-related, and the first line for keeping the office a place people want to be Who You Are A customer obsessive.
Someone who deeply cares about delighting clients and solving their pains, not about vanity metrics. An infinite learner. You are always looking to learn more and learn faster. You feel uneasy when you get complacent, and you’re constantly seeking discomfort.
A team player. You love giving and receiving feedback and learning and growing as a team. Unafraid of failure . You take risks. You see failure as an opportunity to learn, grow, and be better the next time. In a weird way, you trick your brain into being excited when you fail because it means you get a new opportunity to learn more.
Affinity for the unconventional. You get a kick out of rejecting conventional wisdom. And you’re not afraid to try weird, crazy, and quite possibly stupid ideas. Extremely focused. You practice extreme focus in everything you do. You’re always looking to prioritize your time and resources for maximum efficiency.
What We Require 1–2 years in office management, workplace experience, administrative operations, or a similar role — startup or high-growth experience strongly preferred A track record of owning a space or program end to end with minimal oversight Genuine fluency with AI tools, and a bias for using them to automate real work Excellent written and verbal communication across every level of the org Strong organization and judgment, with comfort shipping in ambiguity and driving clarity Willingness to be in the NYC office full time — this role lives in the space it runs Nice to Have Experience standing up office or workplace systems for a growing team from scratch Experience owning onboarding/offboarding logistics or IT/device coordination Experience managing vendors and office budgets Prior experience owning all of this is a plus, not a hard requirement.
If you're a fast learner who's hungry to own this from the ground up, we want to hear from you.
