Job Description

At Ascentium Capital, the Manager- Office Vendor & Administration contributes to the efficient and effective workings of applicable departments by performing daily tasks that require a strong attention to detail and advanced industry and business knowledge.

Ascentium Capital, a division of Regions Bank, provides convenient access to financing for business equipment and technology and serves small organizations to Fortune 500 companies with programs that benefit manufacturers, distributors and direct to businesses nationwide.

Primary Responsibilities Reviews invoices for validity, proper approvals, and coding, including cost center designations Processes payable transactions timely and maintains records accordingly Imports or approves National Automated Clearing House Association (NACHA) files and enters or approves wire transactions through the online banking platform Reviews/approves exception items in the online banking platform Helps with setting up new employees and reviewing employee expense reports to ensure proper support documents have been received and that Company Expense Reimbursement Policy is adhered to Reviews corporate credit card transactions, initiates disputes when needed, and ensures timely payments Sets up Fixed Asset Additions in Regions' accounting system for each capitalized expense and works with the Accounting team on any issues/changes Scans and/or saves support documents for payable transactions Pulls payable documentation as needed for audit requests, internal reviews, or legal proceedings Researches and handles data updates and documentation requests as related to proper 1099 processing Handles light purchasing as needed for fixed assets or corporate credit card transactions Provides training to employees on the proper use of the associate expense management system Issues 1099-MISC once per year in conjunction with the applicable manager This position is exempt from timekeeping requirements under the Fair Labor Standards Act and is not eligible for overtime pay.

Requirements Bachelor’s degree in a related field Five (5) years of experience in accounts payable Experience with general ledger accounting Experience operating a ten-key calculator/keyboard Skills and Competencies Ability to learn additional systems as needed Ability to manage multiple priorities simultaneously Ability to research, analyze data, and derive facts Ability to supervise and manage a team on occasion Ability to work in a team environment when applicable Ability to work well under pressure and meet deadlines Excellent verbal and written communication skills Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook, etc.) Strong attention to detail Strong organizational skills Strong work ethic and self-motivation At Ascentium Capital, the Manager - Office & Vendor Administration provides guidance and support to the Ascentium Capital Business Leader by participating in numerous committees to support the growth of the business while maintaining a culture of safety and soundness.

The role also contributes to the efficient and effective workings of applicable departments by performing daily tasks that require a strong attention to detail and advanced industry and business knowledge. Primary Responsibilities Actively participates and provides guidance to the Ascentium Capital Business Leader and other leaders on the following committees or meetings: Customer Complaint Meeting, HFS/FAO Meeting, IT Working Group, Pricing Working Group, and Performance Improvement Team (PIT Crew) Represents Ascentium in the Houston market for Regions.

This includes Inclusion & Belonging, Market Leadership, and Volunteerism. Supports the growth and administration of the Kingwood, Birmingham, and Scottsdale offices. This includes all aspects of property management and resourcing of space for all Ascentium associates in these 3 offices.

Further, as the Houston-based Regions Commercial Banking team expands, this individual will handle any needs they may have. Takes responsibility for processing payable transactions timely and maintaining records accordingly. Scans and/or saves support documents for payable transactions.

Takes responsibility for reviewing invoices for validity, proper approvals, and coding including cost center designations. Responsible for the proper upkeep of the Kingwood, Birmingham, and Scottsdale offices as it relates to all vendors required to properly operate the office including office supplies as needed.

Is the primary contact for the security alarm vendors in the event of breach or other office emergency. Pulls payable documentation as needed for audit requests, internal reviews, or legal proceedings. Manages the Administrative Assistant(s) and serves as backup support for front end activity in the Kingwood office.

Handles purchasing as needed for fixed assets or corporate credit card transactions as requested by management. Act as a point of contact for employees regarding facility-related concerns Supports the Ascentium Capital Business Leader as requested to provide feedback and guidance as requested.

Position Type Full time Compensation Details Pay ranges are job specific and are provided as a point-of-market reference for compensation decisions. Other factors which directly impact pay for individual associates include: experience, skills, knowledge, contribution, job location and, most importantly, performance in the job role.

As these factors vary by individuals, pay will also vary among individual associates within the same job. The target information listed below is based on the Metropolitan Statistical Area Market Range for where the position is located and level of the position.
