Reporting to the Operations Manager within the Talent Acquisition function, the TA Operations Coordinator delivers an accurate, compliant and customer-focused onboarding service. Partnering closely with candidates, recruiters, hiring managers and the wider Talent Acquisition team, you will support the end-to-end journey from offer through to day one, meeting service levels, maintaining data accuracy and ensuring a seamless experience throughout the onboarding process.

You will work in a fast-paced environment, balancing multiple priorities while delivering a high-quality service and maintaining compliance standards. What you’ll do Manage a caseload of end-to-end onboarding up to Head of level across a variety of contract types.

Produce accurate contracts and onboarding documentation within tight SLAs, prioritising work to protect start dates and candidate experience. Process internal moves, promotions and change of details, ensuring records and contractual changes are complete and right-first-time.

Deliver robust pre-employment checks, including Right to Work and background screening, escalating exceptions and complex cases appropriately. Maintain audit-ready employee files and HR system records, working to required controls, data accuracy and compliance standards.

Partner collaboratively and provide advisory support to recruiters, Talent Acquisition and hiring managers to resolve issues and enable smooth hiring. Communicate proactively with candidates and stakeholders, providing clear updates, guidance and timely responses to queries.

First line response post offer for candidates on all queries, triaging queries/flags to correct team to mitigate risk, avoiding drop-outs and delays to start date and ensuring an exceptional candidate experience. Stay agile and flex to peaks in demand, while identifying and helping to drive operational efficiencies through technology, AI and continuous improvement of BAU processes to enhance service, turnaround and quality.

What you’ll bring Experience managing a high-volume workload, balancing competing priorities and delivering work accurately within agreed deadlines and service levels. Strong attention to detail, with the ability to maintain accurate records and handle sensitive or confidential information appropriately.

Strong communication and relationship-building skills, with the ability to provide excellent service and build effective working relationships with customers, colleagues and stakeholders. Experience working within defined processes, policies or compliance requirements, demonstrating sound judgement and escalating issues appropriately.

Resilient and adaptable, with the ability to respond positively to changing priorities and business needs while maintaining a high-quality service. Experience gained within an operational, administration, customer service, HR, recruitment or shared services environment would be advantageous.

The hybrid working expectations for this role are 3 days in the office per week. Your office base Sky Watermark is our central site for Livingston, sitting between Glasgow and Edinburgh. With vibrant office spaces, chill-out areas, and an onsite canteen, it’s a great place to work and connect.
