Serve as a trusted and proactive partner to the CEO by managing priorities, coordinating schedules, facilitating communication, and ensuring the efficient operation of the Executive Office. Exercise sound judgment in handling competing demands, prioritizing requests, anticipating issues, and managing the CEO's time and commitments to ensure alignment with business objectives and stakeholder needs.
Develop a strong understanding of the company's business, operating environment, client relationships, governance responsibilities, and executive priorities to effectively support decision-making, meeting preparation, communications, travel, events, and stakeholder engagement activities.
Leverage technology, including artificial intelligence tools, to organize information, prepare executive-ready summaries, streamline processes, and enhance productivity. Coordinate and support special projects and initiatives as assigned by the CEO.
Demonstrate professionalism, executive presence, discretion, accountability, and alignment with the company's Purpose, Mission, and Values while interacting with Board members, executives, clients, community leaders, and teammates. ESSENTIAL DUTIES AND RESPONSIBILITIES Following is a summary of the essential functions for this job.
Other duties may be performed, both major and minor, which are not mentioned below. Specific activities may change from time to time. 1. Provides administrative leadership for activities on the executive floor. 2. Serves as liaison with other major areas of the company such as IT, HR and Legal. 3.
Prepare (key) correspondence, reports and forms. 4. Handle inquiries, phone calls and documents not requiring CEO’s attention. 5. Identify issues, research questions and bring matters to appropriate teammate’s attention. 6. Establish and maintain files and records. 7.
Screen calls/voicemails and handle or route to other teammates. 8. Arrange and handle details related to travel arrangements, expense reports, meetings and appointments. Establish and maintain databases, coordinate meetings and distribute materials. 9.
Deal discreetly with confidential information. 10. Support Corporate and Bank Board of Directors, meetings, calls and functions. 11. Serve as project manager or project representative as assigned by CEO. 12. Ensure effective communication and partnership with Executive Assistant teammates.

High school diploma or equivalent 2. Seven years of administrative experience in support role; two years of experience supporting a senior level manager or professional 3. Excellent verbal and written communication skills (including strong knowledge of spelling and grammar), organizational skills, interpersonal skills and math skills 4.
Ability to work independently and provide direction to other clerical staff 5. Demonstrated proficiency in basic computer applications, such as Microsoft Office software products 6. Ability to deal with complex situations that require sound judgment 7.
Exhibit poise, confidence and interpersonal skills necessary to favorably interact with associates, clients, senior corporate officers and directors 8. Ability to operate office equipment (e.g. fax, copier) 9. Ability to endure light physical labor Preferred Qualifications: 1.
Bachelor's degree. 2. Experience supporting a Chief Executive Officer, Chairman, President, or other senior executive in a complex corporate environment. 3. Working knowledge of the financial services industry, including an understanding of banking operations, executive operating rhythms, and client-focused business priorities. 4.
Demonstrated ability to manage complex executive calendars, prioritize competing requests, and effectively allocate executive time based on business needs and organizational priorities. 5. Strong organizational skills with the ability to manage multiple responsibilities simultaneously, including scheduling, travel coordination, meeting preparation, correspondence, events, and special projects. 6.
Demonstrated ability to anticipate executive needs, proactively identify potential conflicts or challenges, and recommend practical solutions. 7. Strong executive presence and professionalism with the ability to interact confidently and appropriately with Board members, senior leaders, clients, regulators, community partners, and external stakeholders. 8.
Understanding of the importance of client relationships and the ability to coordinate and support executive interactions with key clients and external partners. 9. Experience supporting Board meetings, executive meetings, corporate events, and stakeholder engagements, including preparation of agendas, materials, logistics, and follow-up activities. 10.
Proven ability to exercise discretion, maintain confidentiality, and handle sensitive information with sound judgment. 11. Strong written and verbal communication skills, including experience preparing executive correspondence, presentations, meeting materials, and briefing documents. 12.
Experience reviewing, organizing, and summarizing large volumes of information into concise, actionable materials that support executive decision-making and meeting preparation. 13. Demonstrated proficiency leveraging artificial intelligence and productivity technologies, including Microsoft Copilot and Microsoft 365 applications, to enhance efficiency, generate summaries, improve workflow management, and support executive productivity. 14.
Advanced proficiency in Microsoft Office products, including Outlook, Word, Excel, PowerPoint, Teams, and SharePoint. 15. Proven ability to establish priorities, maintain accountability, and appropriately manage competing requests in a fast-paced, high-visibility environment. 16.
Strong attention to detail combined with the ability to understand broader business priorities and adjust support accordingly. 17. Demonstrated commitment to continuous improvement, operational excellence, and delivering a high-quality executive support experience. 18.
