Based on site in Gaithersburg, MD, you will enable senior leaders and project teams focused on advancing cancer medicines to concentrate on what matters most. Accountabilities Executive Support: Provide high-quality 1:1 support at an executive level, including sophisticated and complex calendar management, domestic and international travel, and expense management to maximize leaders’ time for decision-making and scientific progress.
Priority Navigation: Proactively resolve scheduling conflicts and shifting priorities, ensuring the right conversations happen at the right time to keep delivery on track. Stakeholder Communication: Facilitate clear, timely communications between leaders and internal and external stakeholders so decisions and actions flow without delay.
Meeting and Event Delivery: Lead logistics and preparation for internal and external meetings and team engagements, including agendas, materials, minutes, actions and follow-up, for both virtual and in-person formats. Project Logistics: Manage team calendars, room bookings, action logs, forward agendas and distribution lists to maintain alignment across complex workstreams.
Information Management: Structure and maintain accessible team repositories (e.g., SharePoint/Teams) for minutes, presentations and key documents; contribute to training and process improvements that improve findability and compliance. Digital Efficiency and Automation: Use digital and AI-enabled tools for scheduling, document preparation and summarization to streamline routine activities and boost team productivity.
Specialist Project Support: Provide tailored administrative support to leaders and departments, adapting quickly to unique project needs and timelines. Team Engagement and Site Contributions: Coordinate initiatives that strengthen engagement and wellbeing; support site events, communications and local activities that build community and momentum.
Community and Capability Building: Participate in knowledge-sharing, onboarding and training across the global administrative community; share best practices, informally coach peers and contribute to continuous improvement and inclusive, high-performing ways of working.
Essential Skills/Experience High school diploma with 5+ years of experience in an administrative or coordination role, with a strong track record of supporting senior and executive-level leaders and their complex projects, teams and priorities.
Advanced proficiency in Microsoft 365, including extensive calendar management in Outlook and strong skills in using productivity and collaboration tools to manage information and data. Demonstrated proficiency with virtual meeting technologies, information management tools (such as SharePoint/Teams ) and other productivity platforms; comfortable adopting new digital and AI-enabled tools.
Prior experience supporting multiple functional leaders or stakeholders with different priorities. Excellent verbal and written communication skills. High level of professionalism and business acumen, with the ability to handle highly confidential information with discretion.
Proactive approach with the ability to manage and prioritize multiple requests simultaneously and effectively. Strong attention to detail and a consistent track record of delivering high-quality work. Strong organizational, forward- planning and stakeholder-management skills.
Strong relationship-building skills, with the ability to develop networks across the organization and with external partners. Proven ability to handle and resolve issues quickly and efficiently, with flexibility to adapt to changing situations.
Experience working effectively in a global environment and balancing competing priorities across time zones. Ability to work autonomously while also collaborating effectively as part of a broader administrative support team. Able to demonstrate tact, persuasion and negotiation skills and maintain confidentiality with stakeholders at all levels.
Desirable Skills/Experience Bachelor’s degree is preferred. Customer focus: dedicated to meeting the expectations and requirements of internal and external stakeholders. The annual base pay for this position ranges from $ 69,700 to $1 04,550 . Our positions offer eligibility for various incentives—an opportunity to receive short-term incentive bonuses, equity-based awards for salaried roles and commissions for sales roles.
