Job Summary Purpose: Coordinates the efficient day to day facilities management of the London Office and is responsible for the procurement processes associated with London office goods and services Position Overview Primary Role Objectives: London Office Facilities Coordinates the efficient and effective running of the office including supplier management and meeting the needs of the London Office staff Coordinates the activities of the London Facilities assistant Maintains the London Office Facilities Manual Negotiates and account manages the London Facilities contracts including selection of appropriate vendors and for the acquiring of goods and services Responsible for representing the office with the building’s facilities management and maintenance teams to ensure the upkeep of the office, including repairs and renovations Responsible for Health & Safety, fire evacuations, first aid, and coordination of the annual building power down Serve as the Security Point of Contact; liaise between Global Security and London office personnel, support implementation of Global Security programs, promote security culture.
Responsible for equipment and supplies procurement and maintenance Coordinates new employee and contractor building inductions Account manager for various local employee services and organiser of London office events Out of hours contact for office emergencies and coordinates the Business Continuity Plan Responsible for Documents and Records Management including external archiving Ad hoc Project work London Office Requisitioner Responsible for creating all London Office requisitions in SAP/GEP and reviewing of all service entries and epayables.
Troubleshooter for SAP/GEP issues Business Expectations Comply with UK Legislative, Regulatory and Company Safety Requirements Takes accountability to remain compliant in the role by completing any required training in a timely manner In relation to office services and supplies, monitors the contract value, ensuring that the work scope is effectively delivered, and the scope is not expanded or changed unless the appropriate process is followed and approved Generates ideas for cost savings/efficiencies Coach, support and mentor team members and peers In addition to the primary objectives above, employees may reasonably be requested to undertake other duties as required within their capabilities.

Basic Qualifications
- 5 or more years of experience organising office operations and procedures in the London market Intermediate knowledge of Health & Safety procedures Working knowledge of corporate procurement processes Intermediate user of Microsoft Office packages Preferred Qualifications: Strong communication and reporting skills Previous experience supporting public utility, energy, trading industries Previous experience with new office fit out works Highly organised, with strong planning skills and the ability to prioritise, multi-task and manage a varied workload while remaining calm under pressure Builds rapport quickly and maintains strong internal and external relationships, promoting the Company's image Works with tact and diplomacy Proactive self-starter, able to work on own initiative without supervision Strong attention to detail and problem-solving ability Able to negotiate with and manage suppliers and contractors Apply By: Jul 29, 2026 Sponsorship: ConocoPhillips’ sponsorship for employment authorization in the country where this job is located is NOT available for this position.
