Die Rolle verantwortet die Verwaltung von Flächen- und Arbeitsplatzressourcen, die Koordination externer Dienstleister sowie die Bereitstellung von Analysen und Berichten zur Unterstützung datenbasierter Entscheidungen. Darüber hinaus fungiert die Position als zentrale Schnittstelle zwischen Facilities Management, EHS, Infrastrukturelle und Strategische Projekte, operativen Fachbereichen und externen Partnern.

Hauptaufgaben 1. Operational Program Management Pflege und Weiterentwicklung von SharePoint-basierten Prozessen, Daten und Dokumentationen. Unterstützung bei der Einführung und Umsetzung operativer Programme und Initiativen. Erstellung, Pflege und Auswertung relevanter Kennzahlen, Berichte und Dashboards.

Unterstützung bei Sonderprojekten sowie Prozessverbesserungsmaßnahmen. Sicherstellung einer strukturierten Dokumentation und Nachverfolgung von Maßnahmen. 2. Raum- und Flächenmanagement Verwaltung und Pflege von Arbeitsplatz- und Flächendaten, insbesondere über das Arbeitsplatzmanagementsystem (iotspot).

Analyse von Raum- und Flächenauslastungen zur Identifizierung von Optimierungs- und Effizienzpotenzialen. Erstellung regelmäßiger Auswertungen und Berichte zur Flächennutzung. Unterstützung bei Umzugsplanung, Arbeitsplatzänderungen und Raumkonzepten.

Sicherstellung einer bedarfsgerechten Nutzung von Büro- und Betriebsflächen. 3. Stakeholder Management Zusammenarbeit mit internen Kunden, Fachabteilungen und Führungskräften zur Erfassung und Umsetzung von Anforderungen. Kommunikation relevanter Informationen an alle Stakeholder.

Koordination zwischen Facilities Management, EHS, Infrastrukturelle und Strategische Projekte, operativen Fachbereichen und externen Partnern. Unterstützung bei der Entwicklung und Implementierung neuer Prozesse und Standards. 4. Lieferanten- und Fremdfirmenmanagement Koordination und Betreuung externer Dienstleister und Fremdfirmen.

Organisation und Überwachung von Zugangs- und Anmeldeprozessen. Sicherstellung der Einhaltung von Sicherheits-, Qualitäts- und Compliance-Anforderungen. Koordination der Schnittstellen zum Permit-to-Work-Prozess (PTW) in Zusammenarbeit mit EHS.

Durchführung allgemeiner Sicherheits- und Notfallunterweisungen für Fremdfirmen. Unterstützung bei der ordnungsgemäßen Rückübergabe von Arbeitsbereichen nach Abschluss der Arbeiten. Enge Zusammenarbeit mit, Facilities, EHS, Projekten und Fachabteilungen. 5.

Analyse und Reporting Durchführung von Analysen zur Unterstützung operativer Entscheidungen. Erstellung von Managementberichten, Präsentationen und Statusübersichten. Auswertung von Nutzungs-, Leistungs- und Prozesskennzahlen. Identifikation von Verbesserungspotenzialen und Ableitung geeigneter Maßnahmen.

Qualifikationen Ausbildung Abgeschlossenes Studium im Bereich Facility Management, Wirtschaftsingenieurwesen, Betriebswirtschaft, Projektmanagement oder vergleichbare Qualifikation. Berufserfahrung Erfahrung im Facility Management, Workplace Management, Operations Management oder einem vergleichbaren Umfeld.

Erfahrung im Umgang mit externen Dienstleistern und Lieferanten. Erfahrung in Datenanalyse, Reporting und Prozessoptimierung von Vorteil. Fachliche Kompetenzen Sehr gute Kenntnisse in Microsoft 365-Anwendungen, insbesondere Excel, Power BI, SharePoint und PowerPoint.

Kenntnisse im Flächenmanagement und Arbeitsplatzmanagement (z. B. iotspot). Grundkenntnisse in EHS- und Compliance-Anforderungen. The role is responsible for managing space and workplace resources, coordinating external service providers, and providing analyses and reports to support data-driven decision-making. In addition, this position serves as a key interface between Facilities Management, EHS, Infrastructure and Strategic Projects, operational business functions, and external partners.

Key Responsibilities 1. Operational Program Management Maintain and continuously improve SharePoint-based processes, data, and documentation. Support the implementation and execution of operational programs and initiatives. Develop, maintain, and analyze relevant KPIs, reports, and dashboards.

Support special projects and process improvement initiatives. Ensure structured documentation and effective tracking of actions and deliverables. 2. Space and Workplace Management Manage and maintain workplace and space data, particularly through workplace management systems (e.g., iotspot).

Analyze space utilization and occupancy rates to identify optimization and efficiency opportunities. Prepare regular occupancy analyses and space utilization reports. Support move planning, workplace modifications, and space planning concepts.

Ensure the efficient and demand-based utilization of office and operational facilities. 3. Stakeholder Management Collaborate with internal customers, business functions, and leadership teams to gather and implement requirements. Communicate relevant information to all stakeholders.

Coordinate activities between Facilities Management, EHS, Infrastructure and Strategic Projects, operational business functions, and external partners. Support the development and implementation of new processes and standards. 4. Vendor and Contractor Management Coordinate and manage external service providers and contractors.

Organize and monitor site access and registration processes. Ensure compliance with safety, quality, and regulatory requirements. Coordinate interfaces with the Permit-to-Work (PTW) process in collaboration with EHS. Conduct general safety and emergency response briefings for contractors.

Support the proper handover and close-out of work areas upon completion of work. Work closely with Facilities, EHS, Projects, and business functions. 5. Analysis and Reporting Perform analyses to support operational decision-making. Prepare management reports, presentations, and status updates.

Evaluate utilization, performance, and process-related KPIs. Identify improvement opportunities and recommend appropriate corrective actions. Qualifications Education Bachelor's degree in Facility Management, Industrial Engineering, Business Administration, Project Management, or a related field, or equivalent qualification.

Experience Experience in Facility Management, Workplace Management, Operations Management, or a similar environment. Experience managing external service providers and vendors. Experience in data analysis, reporting, and process improvement is preferred.

Technical Competencies Strong knowledge of Microsoft 365 applications, particularly Excel, Power BI, SharePoint, and PowerPoint. Understanding of space management and workplace management systems (e.g., iotspot). Basic knowledge of EHS and compliance requirements.

Strong analytical thinking and a structured working approach. Fluent German and good English language command, both written and spoken Personal Competencies Excellent communication and organizational skills. Strong customer and service orientation.
